Section 51 Manual — Promotion of Access to Information Act (Act 2 of 2000)

This manual is published in accordance with section 51 of the Promotion of Access to Information Act, 2000 (PAIA), as amended by the Protection of Personal Information Act (POPIA). It describes the records Zanstech holds in connection with ZansQuote and how to request access to them.

We aim to acknowledge requests within 5 business days and to respond within the 30-day period prescribed by PAIA.

5. Categories of records held

In connection with operating ZansQuote, we hold records in the following categories:

  • Account records — name, email address, and authentication records for registered users, obtained via Google sign-in.
  • Customer data entered by users — the names, contact details, and business information that a ZansQuote account holder enters about their own customers. This data belongs to the account holder, not to Zanstech — see our Privacy Policy, section 4.
  • Quote and invoice records — content created by account holders using the platform.
  • Billing records — subscription plan, status, and payment references from our payment processor, PayFast. We do not store card details ourselves.
  • Communications — support correspondence and contact-form submissions.
  • Technical/usage records — server logs and basic usage data retained for security and operational purposes.

6. How to request access to a record

A request must:

  • Provide sufficient detail to identify the record requested.
  • Indicate the requester’s identity and contact details.
  • Specify the form of access required.
  • Be sent to the Information Officer at the address in section 2 above.

There is no fee for a request relating to your own personal information. For other records, PAIA prescribes standard request and access fees, which we will communicate before processing if applicable.

7. Grounds for refusal

Access to a record may be refused on grounds set out in Chapter 4 of PAIA — for example, where disclosure would unreasonably disclose another person’s personal information, or would reveal information protected by legal privilege. Any refusal will state the reason and the relevant section of PAIA, and inform you of your right to lodge a complaint with the Information Regulator or apply to court.

8. Right to lodge a complaint

If you are not satisfied with the outcome of a request, you may complain to the Information Regulator: www.justice.gov.za/inforeg.
